Why anyone asks for documents on site
An inspection is a comparison. The inspector is checking built work against an approved document, and if the approved document is not there, the comparison cannot happen. That is the whole mechanism, and it explains most of what follows: the documents commonly required on site are the ones somebody needs in order to decide whether what got built matches what got approved.
The second audience is your own trades. A framer, a plumber, and an HVAC contractor working from three different revisions of the same plan will each build something defensible and the three will not meet. The document set on site is the tie-breaker, and it only works if there is exactly one of it and it is current.
The third is the record itself. Many departments record inspection results directly on the posted permit card, so the card doubles as the running history of the job. Years later, an appraiser, an insurer, or a buyer’s inspector will ask what was approved and when — and the answer will either be filed or it will be gone.
The permit card itself
The permit card is the document most commonly subject to an actual posting rule. Many building departments require it to be displayed at the site from the day work starts until final approval, visible from the street or the approach, and protected from weather — a sleeve, a box, or a covered board. Some specify a height or a location. Some want it inside the structure once it is dried in.
Treat the card as the department’s property rather than yours. If your inspectors sign off on the card, a card that has blown away is not a paperwork problem, it is a missing record of every inspection you already passed. Ask before you replace it with a copy, laminate it, or move it indoors.
Photograph the card the day it is issued, front and back, and keep the photo with the job. It costs nothing and it is the difference between a phone call and a re-issue request when the pole gets knocked over.
The approved plan set
The stamped set returned to you by plan review is typically expected to be on site and available at every inspection. Not a set — the set: the one carrying the review stamp, including any sheets marked up during review and any conditions attached to the approval. Departments differ on whether a digital copy satisfies this, and it is worth asking rather than assuming either way.
Revisions are where residential jobs actually bleed. A revised sheet gets approved, the new PDF goes out by email, and the old printed set stays in the box on the post because nobody wanted to walk out and pull it. Two weeks later something gets framed to a sheet that stopped being true in April. The rebuild is not covered by anyone, and it is nobody’s fault in a way you can bill.
The rule that prevents this is boring and it works: superseded documents leave circulation the same hour the replacement lands. If a sheet can still be reached, it will get built.
Engineering and supporting documents
Beyond the plans, most residential jobs accumulate a second tier of documents that specific inspections depend on. Which ones apply to you depends entirely on your jurisdiction, your climate zone, and what you are building, but this is the family:
- Truss package — sealed truss drawings and the engineer’s letter. Commonly requested at framing inspection, and commonly the one document nobody can produce.
- Structural calcs — beam and header calculations, lateral design, engineered lumber specs, and any deferred submittals the plan review letter called out.
- Soils report — geotechnical report and compaction testing where the site or the foundation design calls for it, often tied to the footing inspection.
- Product approvals — evaluation reports or product approval numbers for windows, doors, and connectors. In high-wind and coastal jurisdictions in particular, these are frequently asked for by number at inspection.
- Energy compliance — the energy code forms, insulation and fenestration schedules, and blower-door or duct-leakage results where testing is part of the approval path.
- Mechanical design — HVAC load calculations and equipment selections, which many departments ask to see rather than take on faith.
- Site work — erosion and sediment control plans, tree protection, driveway or right-of-way permits, and any septic or well approvals. Some jurisdictions expect the control plan itself to be kept on site while ground is disturbed.
None of these are universal. The reliable move is to read your plan review letter closely — the conditions of approval usually name the deferred submittals and the documents that need to be available — and then ask the department about anything ambiguous before the inspection rather than during it.
Inspection records and correction notices
Inspection results are documents too, and they are the ones most often treated as disposable. A correction notice left on a stud, rained on, and eventually knocked down is a correction that will not get made — or worse, will get made by the wrong trade in the wrong way.
Keep results and corrections with the rest of the set, and make sure the trade responsible for a correction can actually see it without calling you. The sequencing argument is the strongest one here: a drywall crew that can check whether framing and rough-in actually passed before they load the house is a crew that does not tear out a wall on Thursday.
Where a department posts results online, keep your own copy anyway. Portals get replaced, accounts get deactivated, and the job file outlives both.
Trade permits and other site postings
A residential job usually carries more than one permit. Electrical, plumbing, mechanical, and gas are frequently issued separately, sometimes directly to the subcontractor, and in many jurisdictions each one is expected to be posted or available the same way the building permit is. If your electrician pulled the permit, you may still be the one an inspector asks for it.
Several other categories commonly turn up on residential sites, and how they apply to you varies widely: contractor license and certificate of insurance information; workplace safety postings and safety data sheets for chemicals stored on site, which come from a different body of rules than the building code entirely and are worth a conversation with your safety adviser rather than a guess; homeowners association or architectural review approvals; and utility, encroachment, or road-cut permits.
The pattern is that the building department is not the only authority with an interest in your site. Ask each one what they expect to see, and keep the answers with the job’s documents so the next superintendent does not have to rediscover them.
What actually goes wrong
Missing documents rarely fail a job outright. What they do is convert a scheduled hour into a lost day, repeatedly, in ways that never show up as a line item.
The common shape: an inspector arrives, asks for the truss letter or the current sheet, and it is not there. The inspection is not completed. The crew waiting on that sign-off stands down or goes to another job. Depending on the department there may be a re-inspection fee, and there is almost always a wait for the next available slot — which lands after the trade you had scheduled behind it, so the whole sequence shifts. None of that is dramatic. It is just expensive, and it repeats.
The other shape is quieter and worse: nobody notices anything is missing, because the wrong document was present and looked right. Superseded plans do not announce themselves. They get built.
How builders usually organise it
Four approaches cover almost every residential job site. Most builders run two of them at once without ever really deciding to.
The box on a post
A plastic tube or steel box zip-tied to the temp pole. Cheap, obvious, and everybody already knows to look there. It also fills with water, bakes in the sun, walks off, and quietly goes stale: the set inside is whatever was printed the day the box was hung.
The binder in the truck
One controlled copy that stays with the superintendent. Nothing gets wet and nothing gets lost — but the documents are only on site when you are. Every sub who needs a detail calls you, and you become the help desk for your own job.
A shared cloud folder
Always current, and free if you already pay for the storage. The friction is access: subs hit a login wall, permissions get handed out by text, and six months in the folder holds four files whose names all start with FINAL. Inspectors rarely want to sign in to anything.
A scannable page at the site
A placard where the box used to hang, pointing at one page that shows the current set. No app, no login, no stale print. It still does not replace a permit card you are required to post physically, it still needs someone to keep it current, and it needs signal at the site.
There is no correct answer, only a trade-off between how current the set is and how easy it is to reach. A printed box is maximally reachable and goes stale immediately. A cloud folder is always current and is guarded by a login that the people who need it will not pass. Whatever you pick, the failure mode to design against is the same one: a document that is out of date but still reachable.

A checklist you can run per job
Document control on a residential job does not need a system. It needs six habits attached to things that already happen.
At permit issuance
Post whatever the department tells you to post, in the location and manner they specify. Scan the permit card, the approved plan sheets, and the plan review letter or conditions of approval the same day — before anything goes in a truck.
Before the first trade mobilises
Confirm every sub is looking at the same revision. Send the link, not the attachment: an emailed PDF is a copy that will still exist after you supersede it.
When a revision is approved
Add the new set and pull the old one out of circulation the same hour. A superseded sheet that is still reachable is the single most expensive document on the job.
The day before each inspection
Check that the documents that inspection depends on are actually on site and legible — truss package for framing, load calcs for mechanical, energy forms for insulation, whatever your department asks for.
After each inspection
File the result and any correction notice with the set, where the next trade will see it. A correction nobody reads gets rebuilt into the house.
At final
Keep the whole set. Warranty claims, appraisals, insurance questions, and the buyer's inspector all show up years after the job closes, and they all ask for paper.
Common questions
- Can I post a photocopy of the permit card instead of the original?
- Ask your department. Some are fine with a copy as long as the original is available; others want the card they issued, because their inspectors write results on it. This is exactly the kind of rule that differs between two departments an hour apart, so it is not worth guessing.
- Does an inspector have to accept documents on a phone?
- Nobody has to do anything because a vendor says so. In practice many inspectors are happy to look at a screen, and a fair number prefer it to a wet box. Some still want paper. Plan to be able to do both: keep the required physical postings up, and have the rest reachable in a few seconds.
- How long do I need to keep everything after final?
- Retention periods come from several directions at once — your building department, your state licensing board, your insurer, your contract, and your accountant — and they rarely agree. The practical answer most builders land on is to keep the complete set indefinitely, because digital storage is cheaper than the one time you need it.
- Do subs need their own copies?
- They need access to the current copy, which is not the same thing. Sending files creates versions; sending a link creates one source. The distinction stops mattering right up until a revision lands mid-job.
